Learning is key and planning is the gate in all meetings.
How often should meetings be held? in today's modern ways of meeting, we rely on webcams and comfort to move the front lines.
In-Person versus Video Conferencing
"Its different today due to the Coronavirus Pandemic, I miss seeing my co-workers, but I still get to see them through video conference from the comfort of my home"
Depending on your job, you may need to meet at an actual site, or for a more private confidential conversation, you may need to meet behind closed doors. For a large group gathering, a large boardroom would suffice, nonetheless. Since the Covid-19 Pandemic, Web-hosting Companies have surged with attendance due to meetings having to be held online. Sites such as Zoom, GoToMeeting, and Google's Meet have placed much thought behind the possibilities (and cost saving) that can come from meeting less in person, to many companies.
Jess Saturn, a Risk Manager Analyst works for a Dental Corporation shared with us her experience as of recent, in modern day meetings: "I like and miss meeting with co-workers in person. Standing and presenting is exciting for me, I am able to demonstrate excitement with body language and posture. In a board meeting I like to engage and take note, and of course the food we graciously received - who doesn't miss the food? As for Video Conferencing, I was used to holding Video Conferencing meetings often with offsite colleges in other states, so that hasn't changed. Its different today due to the Coronavirus Pandemic, I miss seeing my co-workers, but I still get to see them through video conference from the comfort of my home".
Many companies will continue flying their employees and paying for the lodging, simply because they can afford it, and much rather have it that way. But for other companies, they may choose to take the on-line route more frequently, they may find it helpful in various ways. Depending on the industry, conferencing is necessary and wise to do, but possibilities are happening and laws are changing (due to the crisis) and we are experiencing a new era of virtual meeting.
How often should meetings be held?
Meetings are important more so today than ever before due to Covid-19, however they are being held, they will continue to be a key factor in relationships and communications for all organizations. It is important to not lose the frequency of meeting, and utilize technologies and tools available to achieve goals. We at Shomar Consulting Services advise our clients to be prepared to all meetings and to have either an agenda or a presentation ready if you are hosting.
In-Person or in Web-Hosting, in all meetings, you need a good host that can speak clearly and help others understand the purpose of the meeting and one who can explain the outcome that should conclude form the purpose of the meeting.
“I never gave it my all, about 97% of all my energy, because I needed some left for the rest of my day”
Some meeting require demonstrations of products or services. Folks may not give much to the idea of being the presenter at a meeting, and perhaps the ideas is getting to you, if you're the presenter at your next meeting. We asked Anaisis, a professional speaker for a Boston Children's Dental & Orthodontics Organization, how her Modern Meetings have gone since implementing one of Shomar Consulting Service's recommendations and she told us: "the experience has definitely changed in our meetings, we understand the purpose for gathering and the trajectory path we are in that particular meeting. Somethings that we often don't think about and yet are simple make a difference in our conversations. I have never gave it my all, about 97 of all my energy, because I needed some left for the rest of my day". She tells us laughing as she took to heart our plan to bring genuine smiles to her organizations meetings and culture.
When the meeting ends
Keep in mind some meetings may happen once or not too often, and some are meant to last an indefinite amount of time. Do so, always remember that your time and effort in all meetings must be attentive for both the sake of knowledge and respect for the speaker. In all meeting we should end them with a gratitude for each other's time and generosity towards each other's ideas. We hope you enjoy this short read and feel free to tell us about your meeting experiences (whether good or bad ones).
